Transforming Recruitment Across Multiple Companies: The RMS Project

In mid-2023, I joined an ambitious initiative to modernize and unify recruitment processes across a group of companies undergoing a major corporate action — the creation of a holding company with multiple subsidiaries and sister company. The challenge was clear: build a system that could handle end-to-end recruitment for multiple entities, streamline workflows, and improve the experience for both candidates and HR teams.
The Challenge
Before the project, each company operated its recruitment independently, leading to duplicated work, inconsistent candidate experiences, and missed opportunities to share talent across entities. We needed:
- A shared platform that could support multi-entity hiring.
- Automated tools to reduce manual tasks for HR.
- A smooth, transparent process for candidates.
My role
I collaborated in the design, development, and optimization of the Recruitment Management System (RMS) platform, focusing on:
- Online assessments — integrating technical and psychological tests into a single streamlined process.
- Contract workflows — standardizing templates and enabling negotiation tracking.
- User experience — refining the application-to-onboarding journey for both candidates and HR.
- Process evaluation — identifying bottlenecks and implementing improvements.
The Solution
The RMS evolved from a single-entity tool into a scalable SaaS platform:
- Candidates could create an account, apply, test, interview, and onboard — all in one place.
- HR teams could access shared CV databases across entities, generate automated test interpretations, and manage contracts digitally.
- Analytics tools tracked diversity and improved recruitment insights.

- Faster hiring: Average screening-to-offer time reduced from 30 days to less than 25 days (16.67% improvement).
