In mid-2023, I joined an ambitious initiative to modernize and unify recruitment processes across a group of companies undergoing a major corporate action — the creation of a holding company with multiple subsidiaries and sister company. The challenge was clear: build a system that could handle end-to-end recruitment for multiple entities, streamline workflows, and improve the experience for both candidates and HR teams.

The Challenge

Before the project, each company operated its recruitment independently, leading to duplicated work, inconsistent candidate experiences, and missed opportunities to share talent across entities. We needed:

  • A shared platform that could support multi-entity hiring.
  • Automated tools to reduce manual tasks for HR.
  • A smooth, transparent process for candidates.

My role

I collaborated in the design, development, and optimization of the Recruitment Management System (RMS) platform, focusing on:

  • Online assessments — integrating technical and psychological tests into a single streamlined process.
  • Contract workflows — standardizing templates and enabling negotiation tracking.
  • User experience — refining the application-to-onboarding journey for both candidates and HR.
  • Process evaluation — identifying bottlenecks and implementing improvements.

The Solution

The RMS evolved from a single-entity tool into a scalable SaaS platform:

  • Candidates could create an account, apply, test, interview, and onboard — all in one place.
  • HR teams could access shared CV databases across entities, generate automated test interpretations, and manage contracts digitally.
  • Analytics tools tracked diversity and improved recruitment insights.

The Impact

The results were measurable and immediate:

  • Scalable multi-entity use: From 1 entity to 4+ companies using the system.
  • Faster hiring: Average screening-to-offer time reduced from 30 days to less than 25 days (16.67% improvement).
  • HR productivity boost: Manual screening time per hire cut from 10 hours to 5 hours.
  • Group-wide adoption: Part of a strategic corporate action to standardize recruitment processes across sister and subsidiary companies.

Key Takeaways

This project wasn’t just about building software — it was about enabling collaboration, efficiency, and data-driven decision-making in recruitment. By aligning technology with organizational strategy, the RMS became a vital part of the group’s growth and operational transformation.
